1. Introduction

These Terms of Service (“Terms”) govern your use of the Client Portal (“Portal”).

By using the Portal, you agree to these Terms.

Your use of the Portal is separate from any counselling agreement or contract.

The processing of personal data through the Portal is governed by our Privacy Notice

2. Portal Purpose

The Portal is provided to enable clients to:

  • Book and manage counselling appointments (online or in person)
  • Receive administrative communications related to sessions
  • Access secure messaging with the counsellor
  • Make payments for sessions

The Portal is not a substitute for emergency services, crisis support, or therapeutic sessions themselves.

3. User Responsibilities

When using the Portal, you agree to:

  1. Provide accurate and up-to-date information
  2. Keep your login credentials secure and not share them
  3. Use the Portal only for its intended purpose
  4. Communicate respectfully; abusive or threatening behaviour is not permitted
  5. Notify the counsellor promptly of any security concerns or suspected misuse

4. Prohibited Use

You must not:

  • Access or attempt to access another user’s account
  • Interfere with the Portal’s security or functionality
  • Attempt to circumvent any technical or security measures
  • Use the Portal to harass, abuse, or intimidate the counsellor or any other users
  • Transmit harmful, offensive, or illegal content through the Portal

5. Payments

Payments for sessions are processed via Stripe. Please see the Privacy Notice for details regarding payment processing and data protection.

You acknowledge that Stripe collects and retains payment information directly and that the counsellor does not store full payment card details.

The Portal is provided on a reasonable-efforts basis.

  • ile every effort is made to ensure availability, access may be temporarily suspended for maintenance, upgrades, or unforeseen technical issues.
  • The counsellor is not liable for indirect, incidental, or consequential loss arising from use of the Portal, including missed appointments or technical failures.
  • You are responsible for using the Portal securely and responsibly.

7. Termination or Suspension

The counsellor may suspend or terminate your access to the Portal if:

  • You breach these Terms
  • You misuse the Portal or compromise security
  • You engage in abusive or threatening behaviour
  • Required to do so by law or professional/ethical obligations

Termination does not affect any rights or obligations accrued prior to termination.

8. Abuse Reporting & Escalation

  1. Reporting Misuse or Abuse

    Users must immediately report any suspected misuse, abusive, threatening, or harassing behaviour via the Portal or by contacting the counsellor directly.

  2. Response to Abuse

    The counsellor may take any of the following actions in response to abusive behaviour:

    • Suspend or terminate Portal access for the user
    • Block the user from messaging or other Portal features
    • Retain evidence of abuse for professional, legal, or safeguarding purposes
  3. Safeguarding & Legal Action

    • Serious or threatening abuse may be reported to the relevant authorities, including law enforcement or safeguarding services.
    • The counsellor reserves the right to pursue legal action where appropriate.
  4. Limit of Liability

    The counsellor is not responsible for any consequences arising from abusive behaviour by other users, including distress or disruption caused by misuse of the Portal.

9. Governing Law

These Terms are governed by the laws of Northern Ireland and the UK

Any disputes relating to the Portal shall be subject to the jurisdiction of the courts of Northern Ireland.

10. Updates to Terms

These Terms may be updated from time to time. The most current version will be available on the Portal. Continued use of the Portal constitutes acceptance of any updated Terms.
